Navigating the Conference and Lawrence

We have striven to make the 2013 Conference as compact and pedestrian-friendly as possible, while ensuring that all campus events and most housing options remain wheelchair accessible. Dormitory housing, all conference events, several dining options, and one of the three conference hotels are all within a five-minute walk of each other through campus and a 10-15 minute (albeit hilly) walk to downtown Lawrence. As described more fully under the "Location" tab, downtown Lawrence is vibrant and pedestrian-focused, offering a wide variety of local shops, restaurants and bars, bookstores, coffee shops, music venues and galleries. Two conference hotels are in the center of downtown; regular shuttle service will be provided for those who would prefer that option to walking, biking, or public transit. Wireless service will be available for all conference registrants, and all session rooms will be equipped with projectors and Internet access. In addition, to reduce our resource use, we will make all conference materials, including maps and the program, available online and through a mobile website. Paper materials will also be readily available at registration upon request.

Registration Fees:

While we are still determining the final conference costs, for those attendees who need to apply for travel funds before registration opens, we anticipate conference registration fees of roughly $150 US, plus food, lodging, and transportation.


Transportation

Lawrence, Kansas is conveniently located on Interstate 70 just 30 minutes west of Kansas City and 45 minutes southwest of the Kansas City international airport (MCI).

Air

Ground transportation from the airport

The conference will provide a shuttle service (for a fee). There are also commercial car rental and shuttle services. Learn more about your options here.

Driving Directions from the Kansas City International Airport:

As you exit the airport, follow the signs to Topeka, which will direct you to:

  1. Turn left onto the 29 N / 435W ramp to St Joseph/Topeka. Continue for 3.5 miles.
  2. Take exit 17 to 435 S toward Topeka for 19 miles.
  3. Take exit 12 to 70W / Kansas Turnpike toward Topeka for 25 miles.
  4. Take exit 204 or 202 for Lawrence (estimated toll cost: $1.60-1.65).

Amtrak

For those who prefer rail service, the Lawrence Amtrak station is located just north of downtown, a ten-to-fifteen minute walk to both the Springhill Suites and the Eldridge Hotel, and a 5-minute drive to the Oread hotel.

Accommodations

Dorms

Dorms can be reserved and paid for through the ASLE conference registration form only. Please do not contact KU housing to make or change your reservation.

The two dorm facilities, the GSP/Corbin complex and the Scholarship Halls, are located within a 5 minute walk of the Kansas Union. There are a variety of different room types ranging from double rooms with community bathrooms to four-person suites with a bathroom in room. Please note that the majority of the facilities have shared bathrooms. Layouts of rooms as well as more information about each hall can be found at the links below.

IMPORTANT: KU policy states ASLE must give them a dorm count THREE WEEKS prior to the conference start. Therefore, you should book your room by May 4 to guarantee space. This also means we CANNOT give refunds for canceled or changed reservations after May 4, 2013

Rates: Participants are able to select a double or single option. All rooms come with bedroom linen and towels. We have a mix of double rooms with community bathrooms and suite-style rooms with bathrooms in-room. Participants who select double will have a roommate in their bedroom. Participants who select single will have their own bedroom, but will have to share a bathroom with other participants.

Single rate - $41 per night
Double rate - $26 per night

Internet Information: The room rate includes complimentary internet access in the dorms during the conference.

The KU contract with housing has the following Check-In and Check-Out policies: Check-In and Check-Out Standard check-in time is 2:00PM or after on the day of arrival. Check-out should be completed by 11:00AM on the day of departure. Failure to vacate rooms by 11:00AM on the day of departure will result in a service fee of $25 per room not vacated. There will be someone on staff for late night check-in times.

Hotels

In addition to dormitory housing, we have reserved blocks of rooms at three area hotels: the Oread, the Eldridge, and the Springhill Suites. To receive the special conference rate, please state you are with the ASLE Conference when making your reservations. The ASLE conference block of rooms and special rate are only available by calling the Oread or Eldridge hotels, they are not available online!

April 27, 2013 is the deadline for booking rooms in the block at the conference rate at all of the conference hotels. After that date, any unbooked rooms will be released for general booking to the public at regular hotel rates, so please make your reservation early!

The Oread

Located at the edge of campus, the historic Oread hotel is the closest of the three hotels to the conference—it is just a five-minute walk from the Kansas Union and several other academic buildings.
